ILLINOIS ASSOCIATION OF COLLEGIATE REGISTRARS AND ADMISSIONS OFFICERS

DeKalb, Illinois                                                                                                SUMMER 2002

Save These Dates!  October 23, 24, and 25, 2002

From Russ Fahrner
President-Elect

We will celebrating our 80th Anniversary as an Association. The local arrangements committee and your program committee have challenged each other to bring to the membership the best program and the best entertainment fitting the occasion. We are negotiating with five national speakers and a host of state specialists to convene sessions. Topics include: SEVIS, One Stop, Safety and ADA, MGR 101, Health Wellness, Admission Technology, Diversity, Degree Audit, Admission and Registration 101, Disaster Recovery, SEM, Doing More with Less, IAI and everyone’s favorite – FERPA.  On the entertainment side, we have contracted a Blues band for our reception and a multi talented group for our Thursday Anniversary Gala. The Anniversary for our Association will be celebrated throughout the three days. The Opening Session will feature a stroll through the years with the help of our alumni and the leadership of our special guest. More about our special guest as we get closer to the conference. The Anniversary Gala will be a combination of elegance and craziness.

To whet your appetite even more, all participants will receive a business bag that will be the envy of your colleagues when they “spot” your gift. The Wyndham Northwest Chicago Hotel in Itasca is the conference location. Conference registration information will be mailed soon – stay tuned. So, for now, save these dates October 23, 24 and 25th, 2002.

See you in October!

Here’s a Bright Idea….

Submitted by Christa Oxford

Vice President for Professional Activities

You can win a free registration to the 2003 IACRAO annual conference for yourself or someone from your institution. “How,” you ask? Simply by beating out your peers with the best “Bright Idea” in an admissions, registrar or enrollment management area.

Yes, it’s time once again to look around at all the innovative things you do every day that may not be old stuff to someone else. Just as one person’s trash is another’s treasure, a procedure or initiative your office has come to view as old hat may represent a real gem of an idea to someone else. And as our budgets shrink, we’re all searching for new ways to do more with less.

So submit your entry now for the Gene Magac Bright Idea Award by sending your brightest ideas to Christa Oxford, IACRAO Vice President for Professional Activities, Campus Box 1610, Southern Illinois University-Edwardsville, Edwardsville, IL 62026-1610 or email them to coxford@siue.edu.

Top entries will be selected for presentation at the 2002 IACRAO annual conference. The winning entrant will receive much praise and adulation – Oh, and free registration for next year’s conference.

So send in your ideas now – before you forget!

Did You Know?

On May 8, the Illinois Senate passed House Bill 2370, which now awaits the Governor’s approval. The bill has 60 days from the date it reaches the governor’s desk for him to take action. For public employees this would make the “30 and out” provision permanent. There are also significant provisions concerning survivor benefits. If you want to express support for this bill, you could call 312-814-2121 or 217-782-6830. When you call say, “I’m calling to express my support for House Bill 2370, and I’d like Governor Ryan to sign it.” They will thank you and will not ask for your name. Former Northeastern Illinois University Admissions and Records Director and IACRAO President Passes Away

It was with great sadness that we learned that Eric Moch, former Director of Admissions and Records at Northeastern Illinois University and former President of IACRAO, passed away on Sunday, May 19 in Florida. Eric was born in Stuttgart, Germany, and immigrated to Chicago in 1939. He graduated from Roosevelt University and received a doctorate from Loyola University. He retired in 1990 and moved to Florida. He stayed busy there by writing a column, “First Person Singular”, for the Shoreline Reporter and the Bayside News. He also wrote guest columns and stories for the St. Petersburg Times. Eric wrote a book entitled, “A Link to the Past” which he completed about six years ago. It was the story of his family’s journey to this country. He wrote it because, as the last link in the Moch family, he didn’t want the story of his family’s struggle and courage to die with him. Eric is survived by his wife of 44 years, Barbara; three daughters, and two grandchildren.

Eric left behind a great number of good friends and colleagues. Bruce Oates writes, “Eric was a kind soul who cared deeply for the people in IACRAO. His efforts as President of the organization helped place IACRAO on a sound financial base allowing the organization to continue a high level of service to the membership. Personally, I can’t say enough good things about the man. He was always supportive and encouraging to me. When we were at conferences together, he would always take the time to introduce me to people and make me feel welcome to the group. He was only a phone call away with advice and help.”

Dale Wolf recalls working with Eric for a number of years on the State School Articulation programs. He shared “stage” time with him in presentations on behalf of the public universities. Dale writes, “Even though I have been in admissions for over thirty- two years, I worked at private schools for the first fifteen. Once I moved to EIU, I ended up being a colleague of Eric’s. We shared a similar sense of humor and feelings for the profession. Once he retired, I missed his candid comments and his manner of not taking our business too seriously. I have always tried to think of Eric when doing any presentations. He related well to his audience.”

Steve Adams writes, “Eric was one of my closest friends through the early portion of my 26 year career at ISU…and, if the truth be known, I would consider him to be an important mentor in a business which he knew so well. He was a man of high integrity and in-depth knowledge and had the respect of all admissions directors and others throughout the state and perhaps the country. What I remember most about Eric comes through my experience with the state organization of admissions directors and registrars. When I was elected President of the group in the early 1980’s, I received a very poignant letter from him congratulating me and lecturing me to change what had become an informal and time-wasting group into a more productive and first-class organization. I always respected him for providing me with that guidance which spilled over into many other instances as well. Eric’s voice was always the voice of wisdom and reason. To paraphrase the famous commercial, ‘When he spoke, people listened.’ I know that I am not alone in my stories about the positive impact he had on me and my career. There are others around the country who feel the same.”

You Can Help Strengthen Our Profession

Submitted by Christa Oxford
Vice President for Professional Activities

How did you arrive in the Admissions Office? the Registrar’s Office? a student service center? How did you become your school’s enrollment manager? Chances are good that someone, somewhere recognized potential in you and helped you develop the skills that have made you successful in your chosen field.

Are you keeping an eye out for that special student worker or graduate assistant who brings a real spark to his or her work in your office? Perhaps you’ve already found someone you’d like to groom into a full-time member of your staff. If you have, what are you doing to really make that sale?

Involving student employees in challenging and fun activities will help win them to a field we have come to love. And it’s important that we win them. After all, it’s unlikely that your own Career Counseling Department is encouraging students to become admission counselors, registrars or admissions and records officers.

So don’t just relegate your student employees to setting up files or answering e-mail inquiries. Pick the most promising ones and take them on the road to meet prospective students and concerned parents. And above all, involve them in regional and statewide meetings to show them that yours really is a profession with an honorable history and a promising future. IACRAO offers reduced registration rates for student conference participants, and it doesn’t cost much to add one more body to a car going to a professional development opportunity.

So what have you done for the profession lately?

DISTRICT MEETING REPORTS

East Central District

Submitted by Nguyet Fuller, Chair

Held on March 12, 2002 at Illinois State University, 45 attendees from 7 schools participated. Mike Henry, Director of Admissions, Registration and Records at Parkland College, presented scheduling software developed in-house. Mike won IACRAO’s Bright Idea Award for this presentation. There were eight breakout sessions led by session attendees. Dr. Bartlett and her staff did a tremendous job with all the arrangements and made it possible for the members to have this wonderful gathering.

Rita Pearson from Eastern Illinois University was elected to be the Secretary/Chair-elect for 2002-2003. The current Secretary/Chair-elect is Judith Webster from Illinois State University. Several district members have volunteered to assist with the IACRAO Annual meeting.

The Chair welcomed suggestions on improvements or changes to the future spring meeting. Minutes of the 2002 Spring Meeting were sent to the members in mid-May.

Northeast District

Submitted by Marilyn Gerken-Benakis, Chair

About 85 of the district members attended the workshop at the College of Dupage. The main session, “The Six Dimensions of Wellness: Achieving Balance in Your Life,” was given by Alice Blomquist from William Rainey Harper. Presentation highlights included: What is wellness? How well are you? The six dimensions of wellness and how they related to you were explored. A wellness test was taken to see how one might be helped in achieving balance in personal and professional life. Life is change. Change is a good thing. How can I implement positive changes in my life?

This presentation was followed by “Birds of a Feather” sessions for two- and four-year admissions and two- and four-year records/registration.

Northwest District

Submitted by Lea Houdek, Chair

The Annual Northwest District Meeting was held on March 15, 2002 at Kishwaukee College, Malta IL. Representatives from Elgin Community College, McHenry County College, Kishwaukee College, Northern Illinois University, Rock Valley College, and Waubonsee Community College began their day with a breakfast and a welcome by Dr. Dave Louis, President, Kishwaukee College.

Always popular and interesting is any FERPA presentation. In addition to the Northwest District members, twenty additional Kishwaukee College staff members attended the FERPA presentation led by Ms. Sheri Kallembach, Associate Director, Registration and Records, Northern Illinois University. Sheri used two members of the audience in her unique presentation. Using the “two kids from Indiana” (Sammi Doty from NIU and Tony Miksa, Dean of Math/Sciences at Kishwaukee), Sheri took them and her audience on a FERPA trip. A short question and answer period followed.

After a short break, the members were treated to the FISH video presented (complete with yellow rain slickers) by Suzanne Warber and Robin Hendricks, both of the Registration and Records Office at Northern Illinois University. After the video, Suzanne and Robin outlined how the Registration and Records Office had adopted many of the guidelines in the video and implemented them into office practices.

The members reconvened for a “Birds of a Feather” discussion. Some discussion inspired jealousy (closed with pay for Spring Break!), taking turns covering evening hours, closed/open offices on Fridays in the summer). But the discussion period is always a valuable time to learn what and how “other” schools are doing things. Before breaking for lunch, Sally Misciasci, Credentials Analyst, Kishwaukee College, organized a game and awarded prizes donated by the Kishwaukee College Bookstore. A salad lunch, complete with a cake celebrating IACRAO’s 80th birthday, ended the day. After a tour of the new construction, members left Kishwaukee College with goodie bags and, according to their evaluations, filled with knowledge and good cheer.

Southern District

Submitted by Laura Strom, Chair

As is past tradition, the Southern District meeting was held at Rend Lake Resort with a plentiful supply of food, friends, and conversations. The meeting, held on March 2002, featured Joe Baker of Southern Illinois University at Carbondale’s Wellness Center as our guest speaker. The main topic of our discussion was “Caring for Caregivers”. Mr. Baker led a session that provided an opportunity to reflect on our own coping methods and stress management techniques that follow traumatic events. The group of approximately 56 attendees broke into several small groups to discuss the personal challenges that caregivers face and dealing with stress short term and long term. After reflection and discussion in small groups we all shared our insights. It was very thought provoking and beneficial for all!

We couldn’t end the meeting without taking advantage of the opportunity to share ideas, questions, concerns, etc., with our colleagues. Some of the topics that we discussed included military service credit (health and PE), Advanced Placement credit, document imaging, student transitions from two- year to four- year colleges and re-admission procedures.

West Central District

Submitted by Ron Gregoire, Secretary

We had 35 RSVP, guestimated 37 and 34 attended! It was hosted by Lincoln Land Community College, Ron Gregoire, Director of Admissions.

The speaker gave an excellent entertaining presentation using the “Go Fish” video, tossing out foam fish shapes and handing out fish shaped snack crackers. The presentation reinforced customer service with basically: have fun, be there (pay attention), and keep the right attitude!

Attendees had a short tour of the new campus facilities. Prizes were handed out for the best “Tales from the office,” and all had some good laughs on these!

Illinois IACRAO Member Receives Prestigious APEX Award

Submitted by Sheri C. Kallembach

Chronicle Co-Editor

For the sixth year, the American Association of Collegiate Registrars and Admissions Officers (AACRAO) and SCT, a long-standing AACRAO Corporate Partner, teamed up to present the prestigious APEX Award at the annual AACRAO meeting. This award recognizes individuals for Achieving Professional Excellence in education administration, and outstanding achievement and influence in their field. The winner will have demonstrated an ability to enhance administration and delivery of higher education through the effective management and use of information resources, namely information, technology, and services.

Donald R. Larson was named this year's recipient of the APEX Award on April 14, 2002, at the Opening General Session of the AACRAO Annual Meeting. Larson, executive director of Enrollment Services and registrar (formerly the director of Registration and Records) at Northern Illinois University, DeKalb, Illinois, has implemented technological advancements that benefit his department and the university as a whole, colleagues say.

Larson has employed such programs as online class registration and WebConnect, an online system providing students access to information such as grades, schedules and class availability. He recently initiated a Web site for NIU faculty to access their class lists online. "He understands and employs the concept that there is a technology transformation evolving in higher education," said Sheri Kallembach, associate director of Registration and Records. "Don's abilities to attend to dimensions of change put NIU in a position to keep its competitive advantage in higher education."

Larson also works to create a "fair and pleasant" working environment that focuses on employee satisfaction and improved customer service. "Don believes that a comfortable work environment leads to increased productivity, which in turn results in improved service to students, staff and faculty," said Nora Clark, senior gift and estate planning officer for the Division of Development and University Relations.

"For most of my career, I have had as a goal improving and expanding the use of technology in Registration and Records, and I will continue to promote this campus wide in the future," said Larson, who joined NIU in 1971.

Members of IACRAO join in wishing Don a heartfelt congratulations on his achievement!

A Tribute to Eric Moch

Submitted by Miriam Rivera

Director of Admissions and Records

Northeastern Illinois University

Knowing Dr. Eric B. Moch was an experience I’ll never forget. I’ll never forget how comfortable he made me feel during my interview for my first job in Admissions and Records. I’ll never forget how he would challenge me to learn more than what was listed on my job description, insisting that the more I knew the more valuable I would be to the department. I’ll never forget how he would calm me down when I’d complain that my son got in trouble in school for talking too much. (Eric mentioned how he talked a lot in school too – surprised?) He believed he was in the right job – helping people reach their educational goals. He believed in giving people an opportunity to prove themselves even if test scores and g.p.a.’s weren’t the best. He taught me that our jobs were important because of the difference we could make in other people’s lives.

Several days before he died, Eric called and we spent quite some time reminiscing about our eighteen years together at Northeastern. He told me how proud he was of me and how much he valued our relationship. He was just that type of person. He wasn’t embarrassed to tell someone that he cared about them. When he was your friend, he was your friend for life and he took it seriously. He was so good about calling or e-mailing. He remembered birthdays and other special occasions. When my first grandson was born, he became sentimental remembering when my son had been born and not believing that he was now a father. (My children called him Uncle Eric.)

I believe that the best way for me to honor Eric is to live my life, both personally and professionally, the way he lived his -- putting family first, being honest, being true to friends, and helping people. It shouldn’t be difficult because I learned from the best.

IACRAO Colleagues on the Move

Bruce Oates has been named Director of Registration and Records at Oakton Community College. Bruce has served since 1987 as Assistant Director of Registration and Records at Northern Illinois University where he was involved extensively with developing and implementing the on-line telephone and web registration, pre-requisite checking and classroom management systems. Bruce is looking forward to the new challenges at Oakton.

If you have news about yourself or others that may be of interest to the IACRAO constituency, please send the information to Sheri C. Kallembach or Wendy Lawson Raver, Chronicle Co-Editors, at skallembach@niu.edu or wraver@niu.edu, so it may be considered for inclusion in a future issue.

From the Archives

. . . 1923 to 1930
Submitted by Peter Hood
IACRAO Archivist

In my last Chronicle article, I urged you to "join in the hunt" by checking your institution's archives for names of past registrars and admissions officers. For example, I will check the University of Illinois archives for material on George P. Tuttle, registrar in the 1920s and 30s. He was president of IACR in 1923 and of the national AACR in 1926.

As you understand, the early Association records (from the 1920s through the 1960s) are sketchy. Is it possible that you could take a few minutes this summer, when your responsibilities are not quite so hectic, to pull a file containing names of past registrars and admissions officers of your institution? Then check with your institutional archives for any materials about these people some of which might pertain to our Association. With your help, we may fill in the gaps of our Association history "through the years."

It would be helpful if records could be found for these early years. Actually, the decades of the 1940s, 50s, and 60s are the ones with the least Association history. Identifying individuals in these decades would truly be beneficial to our archives.

To give you a start, the following are the very early names of the Illinois Branch of American Association of Collegiate Registrars officers, their institutions, locations of the annual meetings, and institutional participants during the years 1923 to 1930. If you are working at one of the institutions listed, can you find records for any of these people?
